How can I add time against tasks?

There are several ways you can enter time in Streamtime. This article outlines how to enter time when you've been assigned a task. If you have not been assigned a task and you wish to enter time click here.

1. Me > My Tasks

If tasks have been assigned to you then the easiest way to enter time against those tasks is to go to Me > My Tasks.

Tasks will automatically appear in order of Due date and are colour-coded so you can easily see which Tasks are overdue, due today or due in next couple of days.

  1. If you wish to Sort by start date you can click the word Start and it will reorder your tasks

  2. If you're looking for a particular task, client or Job number you can search for it in the search box

Adding time to a Task

You can add time by clicking the + button.

You can populate the hours and minutes you worked on the task,

or put in a Start and Finish time.

The Date will automatically populate with today's date, however if you're entering time retrospectively, you can click the date picker and change the date of your time entry.

  1. Mark your time as billable or non billable

  2. You can then add notes

  3. Complete the task, if you have finished it

  4. Once you've filled in all the relevant information click Add Time

Note: If the task is given a billable status in Jobs > Notes & Tasks,

then the Billable Entry box will automatically be ticked.

Recording time against a Task

An alternate way to enter time against a task is by clicking the record button.

Once you have finished the task you can click the stop button.

Your start and finish time will automatically be populated on the time entry. The Start time is the time you clicked record and the finished time is the time you clicked stop.

  1. Mark your time as billable or non billable

  2. You can then add notes

  3. Complete the task, if you have finished it

  4. Once you've filled in all the relevant information click Add Time

Please Note: If more than one person is assigned to the same task then only one person can use the record function at any one time. If more than one person is assigned to one task you may want to consider splitting the task in two or using the Add Time and Materials button (+ button).

Once you've added time to a Task, whether by using the + or record button, you will easily see your estimated time, how much of that estimated time you've used and how much is remaining.

If you go over the estimated time allowance, the progress bar will turn red and your time remaining will be a negative. You can still add time to the task, Streamtime is just letting you know that you've used all the allocated time.

Please Note: The progress bar graphic displays in 5% increments. So for example if the time remaining is less than 5% of the total available time, then the progress bar will say "you have used all your time".

Completing Tasks

Over time staff can be assigned many tasks and in order to keep their task list relevant it's important that staff complete tasks when they have finished them.

You can complete tasks as you go. If you're putting time against a task and you know you have finished the task then check the Task Complete box and click Add Time.

This will complete the task in your Me tab allowing you to move onto the next task.

When someone completes a task, Streamtime will automatically

  1. Put a completed date and time next to the task in Jobs > Notes &Tasks, allowing all staff to see that the task has been completed and when

  2. It will grey out the progress bar, again allowing all staff to see that the task has been complete

Another way to complete a Task is to click the tick next to the task you wish to complete.

Again the task will be in grey in your Me tab.

Uncompleting a Task

To retrieve a completed task you can click the undo button.

The task will reappear in your Me tab so you can add more time to it.

Another way to uncomplete a task is to go to Jobs > Notes & Tasks and click the undo button.

Editing your Timesheet

If you've made a mistake on your timesheet and you'd like to edit it, then click on the My Timesheet tab.

To edit a Timesheet entry click the edit button next to the time entry.

This will allow you to edit your time entry if you have made a mistake. Once you have corrected the time entry click Save.

Deleting a Time Entry

You can also delete a time entry from the My Timesheet tab. Simply click the trash can next to the time entry you wish to delete.

And click Delete.

Note: You can only delete a time entry if you have been given access to delete by your system administrator.

Viewing your Timesheet

Next to each Task you can see how much time you've recorded on a particular task for the day.

Clicking on the My Timesheet tab, allows you to see your timesheet entries for the day and for a breakdown of time for the week.

If you wish to view time entries for a different day you can use the arrows either side of the word Today.

Or use the Select Date field to pick which date you'd like to view.

Printing your Timesheet

If you wish to print your Timesheet click the Print button.

You can preview, print or save a PDF of a Day View.

Or you can preview, print or save a PDF of a Week View.
