The use of Statuses in Streamtime is very important . A Quote, Order or Job status can determine what is invoiced and reported in Streamtime, it can also help when doing searches or finds.

Quotes

When you create a Quote in Streamtime each Quote can have its own Status which can either be an active or inactive status

To set up your own Quote statuses go to Setup > System Setup > Quotes > Active Definitions and click the drop down arrow next to the Master List field.
 If you scroll to the bottom of the list you will see the word Edit. By clicking this you can create your own Statuses

Create your Statuses by typing them in the list and click OK

Once you've created your Master List of statuses you can then decide which of these statuses will be active and reportable.

Remember: all Quotes with an Active/Reportable status will transfer to the Invoicing area and also be utilised in many of our reports.

In the example above the Quote has a status of Quote Accepted which is Active. You can tell this is an Active Quote because the Active box is checked and the words Active and Reportable appear on the Quote

All Active Quotes will then be present when you wish to Invoice the Job.

If there's more than one Active Quote on a Job then this will be indicated by the arrows in Invoicing > Related Quotes

In the example above the Quote Status is To Be Revised, which is an inactive status as the Active box is not checked

Note: This Quote will not transfer to the Invoicing area nor will it be reported on.

List Quotes

The status of a Quote can come in handy when you're in a list of Quotes. When in a list view you can use your Quote Status in order to create particular reports e.g. Find all Quotes with a Status of 'With Client', will show all the Quotes that are still with the Client and need chasing.

However, over time, there will be many Quotes in your list view. You can use the My Active or All Active buttons to reduce the list to only show the Quotes that you are currently working on.

Quote Status Tip:

Once a Quote has been Accepted it is a good idea to uncheck the Active checkbox. This will allow you to use the 'All Active' and 'My Active' buttons to bring through a list of Quotes that you need to work on.

Orders

Like quotes each Order in Streamtime can also have its own Status which can be active or inactive

To set up your own Order statuses go to Setup > System Setup > Orders > Active Definitions and click the drop down arrow next to the Master List field.
 If you scroll to the bottom of the list you will see the word Edit. By clicking this you can create your own Statuses

Create your Statuses by typing them in the list and click OK

Once you've created your Master List of statuses you can then decide which of these statuses will be active and reportable.

Remember: all Orders with an active status will transfer to the Invoicing area and also be utilised in many of our reports.

A status like Request for Tender for example, would be an inactive status as this is not yet an order, but simply a request.
 So there is no need for it to show up in any Cost reports.

However a status like On Order would be an active Status. You can tell this is an active Order because the Active box is checked and the words Active and Reportable appear on the Order,

and the Order will appear in reports such as the Job Cost Report.

List Orders

The Status of an Order can come in handy when you're in a list of Orders. When in a list view you can use your Order Status in order to create particular reports e.g. Find all Orders with a Status of 'On Order', will show all the Orders that have not yet been received.

However, over time, there will be many Orders in your list view. You can use the My Active or All Active buttons to reduce the list to only show the Orders that are currently active.

Jobs

Jobs in Streamtime can also have their own Status which can be active or inactive. Active Job statuses make up your Active Job List, or Work in Progress (WIP) list.

To set up your own Job statuses go to Setup > System Setup > Jobs > Active Job Definitions and click the drop down arrow next to the Master List field.
 If you scroll to the bottom of the list you will see the word Edit. By clicking this you can create your own Statuses.

Create your Statuses by typing them in the list and click OK.

Once you've created your Master List of statuses you can then decide which of these statuses will be Active.

In the example above the Status In Progress is considered Active,

And the Status Completed is an inactive Status.

Using these statuses makes it easier to search for jobs in Jobs > List Jobs and you can simply click the My Active or All Active buttons to reduce the list to only show the Jobs that are currently active.
