Exporting Invoices from Streamtime to MYOB
Streamtime allows the export of Invoices to most MYOB versions.
We have a video that shows this process.
Invoice exports for accounts packages are done from the Invoices > List Invoices screen. Ensure you perform a search for invoices that have been sent and not yet exported before clicking export.
In the List Invoices screen, select "Show Invoiced" and Streamtime will display a list of invoices with a 'Sent' status. These are the invoices to export to MYOB.
Note : the “Show Invoiced” button will search for all invoices that have the status selected in the System Setup > Invoices > Sent Invoice tab.
In most cases, the default status is "Sent", but you can choose other invoice status if required.
Once you have a list of invoices ready to export to MYOB, click 'Export'.
Confirm you want to perform the Export by selecting 'Yes'.
A Dialog box appears asking where you want to save the exported file.
Ensure you select “Tab-Separated Text”, and name and save the file.
The next dialog to appear on the screen asks if you want to set these invoices as exported. We recommend that you leave this dialog on screen, and open MYOB and import the invoices using the next steps below. If the import is successful, come back to Streamtime and select “Yes”.
If not, then we may need to make some changes, so select “No”
Importing Invoices to MYOB from Streamtime
In MYOB go to File > Import Data > Sales > Service Sales
MYOB will now ask to confirm the file format for the import.
Make sure "Data Record" is selected against the 'First Record is:' field, leaving the rest as default. You may need to re-name the file as a .txt file on a Mac before importing with some versions of MYOB.
Click the 'Continue' button and then choose the file that you exported from Streamtime earlier.
The next window shows the details from your import file on the left, and the right list window shows the fields in MYOB.
Clicking the Match All button will automatically match the ‘Import Fields’ in the left list with the ‘MYOB Fileds’ in the right list.
The first time you select 'Match All' it is important that you scan down the right list window checking that each import field will be imported into the correct place inside MYOB. This prevents errors with invoices that may be rejected during the import.
Click the 'Import' button to continue.
Errors during an MYOB import can be identified by checking the MYOBLOG.TXT file that is created by MYOB after you perform an import. This file will identify error invoices and indicate why they were rejected (use excel to open this file). The location of this file is usually indicated at the end of the import process.
We have a Knowledge Base article which explains common MYOB errors and how to resolve them here.
If the import is successful, come back to Streamtime and select “Yes” to the dialog box you left open after exporting the invoices from Streamtime.
If not, then we may need to make some changes and perform the export again, so select “No”
How to do a manual match in MYOB?
Make sure you are on the Import Data screen. DO NOT click on the Match All button. Instead select the data field you want to import in the left window list (single click to highlight). Click on the target field in MYOB in the right window list. This action will link the import data to the correct import field. When all required fields have been matched click on the import button to continue.
Note: All fields marked with an astrix must be imported (* = these are required fields).
